SOP-EXEC-executive-review-cadence-v1.0

1. Purpose

Operationalize CLAUDE.md Sections 3, 12, and 13 into a daily and weekly runbook for chief.staff. This SOP does not change the cadence requirements — those are defined in CLAUDE.md and cannot be changed here. This SOP defines the enforcement mechanics: what chief.staff does at each sweep, how compliance is recorded, and what the CEO receives each day.

2. Daily Sweep Schedule

All times PST. chief.staff runs two sweeps per day, 7 days per week.

Self-SLA: If morning sweep not run by 9:00 AM (Mon-Fri) / 1:00 PM (Sat-Sun), chief.staff self-files SEV3 Incident. If EOD sweep not run by 6:30 PM (Mon-Fri) / 5:00 PM (Sat-Sun), self-files SEV3.

3. Morning Sweep Runbook

chief.staff executes the following in order at each morning sweep:

3.1 Check-in compliance

  1. Open each executive's Slack channel (#cro-updates, #cmo-updates, #coo-updates, #cdo-updates)
  2. Confirm Morning Check-In posted by the deadline (8:00 AM Mon-Fri / 12:00 PM Sat-Sun)
  3. For each miss: direct Slack DM to the executive immediately; log the miss in the compliance tracker
  4. Log result: {YYYY-MM-DD} | {exec} | Morning Check-In: RECEIVED / MISSED | {time posted or "not posted by sweep"}

3.2 Monday.com audit

  1. Check each executive's active Monday.com items for status currency
  2. Flag any item with status unchanged since previous business day (indicates no update)
  3. Log gaps: {exec} | Monday.com stale items: {count} — surfaces in CEO Daily Summary

3.3 Open incidents review

  1. Scan /Claude/operations/incidents/open/ for all open incidents
  2. Confirm each has an assigned owner and a recent update (within 24 hours for SEV1/2, within 48 hours for SEV3)
  3. Flag stale open incidents (no update beyond their SLA) for CEO Daily Summary escalation section

3.4 Active Missions check

  1. Scan /Claude/missions/ for active Mission workspaces
  2. Confirm each Mission has a status update from the Orchestrator within the last 24 hours
  3. Flag Mission checkpoints due today per Mission task briefs

3.5 Inbox sweep

  1. Read /Claude/inbox/inbox.md — process any new raw captures
  2. Route each item to the appropriate destination per the Inbox routing table
  3. Log routed items to the Processed Log at the bottom of inbox.md

3.6 Hook health (during warn-only window)

  1. Check /Claude/operations/logs/hooks/ for overnight hook activity
  2. Count false positives per hook; log in CEO Daily Summary HOOK HEALTH section

4. EOD Sweep Runbook

4.1 EOD check-out compliance

  1. Confirm EOD Check-Out posted by deadline (5:30 PM Mon-Fri / 4:00 PM Sat-Sun) for each executive
  2. For each miss: direct Slack DM to the executive; log the miss
  3. Second miss in rolling 7 days: escalate to CEO immediately per Section 11

4.2 Handoff completion audit

  1. Check #agent-handoffs for handoff notifications posted during the day
  2. Confirm each handoff has an acknowledgment from the receiving agent (look for the Acknowledged By field in the Handoff Report)
  3. Unacknowledged handoffs: flag in CEO Daily Summary

4.3 Monday.com EOD audit

  1. Confirm all executives updated Monday.com items to reflect day's completions
  2. Flag any task completed in a check-out that does not have a corresponding Monday.com status update

5. CEO Daily Summary

Delivered daily by: - Mon-Fri: 6:30 PM PST (or shifted cutoff if Late-Start Clause applies — CLAUDE.md Section 17) - Sat-Sun: 5:00 PM PST

Content cutoff is hard at the SLA deadline. Post-cutoff activity rolls into next morning's Summary. chief.staff does not reopen a filed Summary.

Delivery method: Slack DM to Rick + written to /Claude/operations/reports/daily/YYYY-MM-DD.md.

Format per CLAUDE.md Section 13. chief.staff does not deviate from the format — if a section has nothing to report, write "None" not an empty section.

6. Weekly Cadence

Monday — Weekly Kickoff (by 9:00 AM PST)

chief.staff confirms each executive posts their Monday Weekly Kickoff by 9:00 AM. For the first two Mondays of a new exec's tenure, confirms the Kickoff includes the new-exec extended sections (department agents, SOP ownership, Q3 objectives).

Friday — Weekly Close (by 4:00 PM PST)

chief.staff confirms each executive posts a Friday Weekly Close. chief.staff then synthesizes all executive weekly updates into the CEO Weekly Summary Report, delivered by 5:00 PM PST Friday.

CEO Weekly Summary written to /Claude/operations/reports/weekly/YYYY-WNN-weekly-ceo.md.

7. Compliance Tracking

Compliance tracker lives at /Claude/operations/logs/compliance-tracker.md. Format:

chief.staff updates the tracker at each sweep. Rolling 7-day miss count triggers: - 1 miss: DM to executive only - 2 misses in rolling 7 days: CEO notification per Section 11

8. New Executive Ramp

CRO and COO (or any newly activated executive) receive a 2-week new-exec ramp accommodation: - Thin check-ins expected and tracked separately from non-compliance - Ramp misses logged but not counted toward rolling 7-day escalation trigger - First-Monday Weekly Kickoff mandatory (no ramp accommodation on this one)

chief.staff tracks ramp status per executive and flips to standard compliance tracking after Week 2.
